Institutional Web Management Workshop 2008:
Delegate Information


Venue

The conference will take place on campus at the University of Aberdeen. The main sessions will all take place in the Kings' Conference Centre.

Information on travelling to the venue and a number of maps of the campus can be found on the IWMW 2008 travel page. All venues are given on the campus map of Old Aberdeen Campus.

Accommodation

Ensuite accommodation

Ensuite accommodation for speakers and delegates will be located on the University campus in Kings Hall or Crombie (see campus map). The accommodation is directly opposite the main conference buildings.

The rooms are basic single student rooms. Towels, bedding, a pillow pack (shampoo and shower gel), are provided. Tea and coffee facilities are available in the kitchens on each floor of the accommodation.

Although there is an Internet connection and phone in your room, these are only for use by students in term time. You may use the phone to call another room on campus but not for external calls. Check-in is at the Kings Hall reception (see campus map) from 14:00 on Tuesday 22nd July, however at this time talks are being given. It is recommended that you wait till after all the sessions finish at 17:00 before getting your key. Check-out is by 10:00 on the day of departure, Thursday 24th July. Space will be provided for bag storage. Any keys not returned by 10:00 will be incur a £10 charge.

All meals will be provided during the conference up to and including breakfast on the last day. Breakfast will be served in the Eat Dining Room at Johnston Halls from 07:00-09:00. For those staying in Kings Hall accommodation breakfast is served in Zeste at Crombie. If you are unsure of where breakfast is served please ask when you check in.

Standard accommodation

Standard accommodation is now to be situated in Hillead - Wavell House - a 5-10 minute walk from the main campus. This move is due to asbestos being discovered in the Johnston building where the standard accommodation was due to be.

The rooms are basic single student rooms. Towels, bedding, a pillow pack (shampoo and shower gel), are provided. Tea and coffee facilities are available in the kitchens on each floor of the accommodation. Each room has a separate wash hand basin. Delegates share toilet facilities.

Check in is at Hillhead Main Reception (see campus map) from 14:00 on Tuesday 22nd July, however at this time talks are being given. For those staying in standard accommodation in Hillhead, there will be a bus to take you and your bags to Hillhead after the conclusion of sessions on Day One. This will pick you up from outside the Conference Centre. This bus will also take you back from Hillhead accommodation to the Conference Centre at 08:45 on Day Three. You may store your bags at Kings Hall Reception.

Breakfast will be served in Eat@Hillhead for those in Hillhead accommodation from 7:00-9:00.

Additional Accommodation for Monday 21st July

Delegates requiring an extra nights accommodation for the night of Monday 21st July are asked to book this independently with the University of Aberdeen.

Please contact Kings Hall Accommodation Office on 01224 273444 or email kingshall@abdn.ac.uk and request your room. You will be asked to pay for this directly with the University.

It is essential that when you book your room you state that you are staying for the IWMW 2008 conference and that you need to stay in the same room throughout your stay conference.

Arrival

For those arriving on Monday 21st July please make your way to King's Hall or Hillhead reception after 2pm. The College porters will provide you with your key and direct you to your rooms. Breakfast will be served in Eat Dining Room at Johnston Halls for those in Crombie/Johnston/Kings Hall and in Eat@Hillhead for those in Hillhead accommodation from 7:00-9:00.

For those arriving on Tuesday 22nd July, ensuite residential delegates are strongly encouraged to drop their baggage off at Kings Hall reception, where it will be securely stored by the College porters. There is no storage available in Kings Conference Centre for luggage.

For those staying in standard accommodation in Hillhead, there will be a bus to take you and your bags to Hillhead after the conclusion of sessions on Day One. This will pick you up from outside the Conference Centre.

Registration

Registration will take place in Kings Conference Centre Foyer (see campus map) from 10:30 am until 11:45 am on Tuesday 22nd July.

A registration/information desk will be available throughout the conference.

Parking

The most convenient car park for the conference and accommodation is available at Kings Conference Centre. There are 25 spaces available here. Alternatively, free parking is available in any of the other staff and student car parks on campus. Please do not park on the cobbled High Street in front of the conference centre as this is residents' parking only and you will receive a parking ticket.

Parallel Sessions

You should have registered for your parallel session when you filled in your booking form. Information regarding the allocation and location of parallel sessions will be available in the envelope you will be given with your pack. If you have not been issued a choice then please speak to someone at the registration desk. Please contact Natasha Bishop (events@ukoln.ac.uk) if you have any questions.

If you have not yet booked your parallel session then you can email events@ukoln.ac.uk until Monday 14th July. Note that many sessions are now full. After online registration closes you will be able to choose from the sessions that still have spaces available when you register for the workshop on Tuesday 22nd July.

Discussion Groups

Information regarding the allocation and location of discussion groups will be available from the information desk. Further information can be found on the IWMW 2008 Discussion Group page. Note that this year there will only be one discussion group session. There will also be a BarCamp held on the second day.

Network Usage

You should have given information on the type of network connection you will require during the workshop when you filled in your booking form. Delegates who have asked for an account will be provided with the relevant information when registering:

The University of Aberdeen operates a wireless campus. All conference venues and accommodation are covered. Further information is available on the University of Aberdeen Web site. Delegates from EduRoam institutions may connect without the need for a user id and password, further information is available from the Eduroam Web site. An insecure, open wireless network, ‘iwmw08’ has been established for the benefit of delegates who do not have EduRoam access but do want wireless connectivity. This may be accessed via a generic user id and password available from the registration desk.

Delegate Packs

All delegates will be provided with a conference bag. In an attempt to reduce the amount of paper used we will not be printing out the plenary speaker's presentations. If submitted by the speaker these will be available from the IWMW Web site on the Monday before the workshop. Delegate packs will contain a programme, evaluation form and inserts.

Social Events

The social events are included in your registration fee. On the first evening (Tuesday 22nd July) there will be drinks followed by a conference dinner which will be held in the Elphinstone Hall (see campus map), on campus. Drinks will be served at 7 pm with dinner at 7.30 pm. Entertainment, including a ceilidh, will take place after dinner with a cash bar available until midnight.

On the second evening (Wednesday 23rd July) there will be a drinks reception at the Aberdeen Art Gallery in the centre of Aberdeen Coaches will be provided to take delegates to the Gallery and will pick up from High St on campus near the accommodation at 6.30 pm sharp. The drinks reception begins at 7 pm and afterwards there is free time in which delegates can eat at one of the many restaurants in Aberdeen.

Please note that delegates will have to make their own way back to campus by bus or taxi. Further details on the social events including transport information is available from the IWMW 2008 social page.

Sports Facilities

For the duration of the conference the University of Aberdeen are able to offer all delegates preferential rates for using the Sports facilities. You will need to take along your conference badge to identify yourself as a delegate. You can then access all the facilities at Staff rate.
